Executive Assistant to the Diocesan Office Location Charleston, WV :

JOB OVERVIEW :

The Executive Assistant to the Diocesan Office is a full-time position reporting to the bishop while working to support him and the Leadership Team of the Episcopal Diocese of West Virginia.

The Executive Assistant to the Diocesan Office supports the ministry and the mission of the diocese by relieving the bishop and other members of the Leadership Team of routine office, clerical, and administrative duties. The Executive Assistant will manage the bishop's calendar, including making appointments and prioritizing the most sensitive matters. The Executive Assistant will also be asked to facilitate the bishop's correspondence, such as writing and editing e-mails, drafting memos, and preparing letters.

While primarily serving as support to the bishop, the Executive Assistant will also serve the other members of the Leadership Team in similar capacities—though in smaller scale—to empower and enhance the ministry of the whole diocese.

The Executive Assistant will be the point of first contact for clergy, staff, visitors, and others to the Diocesan Office. Because of this, the Executive Assistant should possess strong interpersonal skills. The Executive Assistant will be responsible for organizing select meetings, including scheduling, sending reminders, and organizing catering when necessary. The Executive Assistant is expected to maintain high levels of confidentiality and exercise appropriate discretion while communicating with those outside of the Diocesan Office.

The Executive Assistant will also oversee basic office functions for the Diocesan House, including mail handling, supply purchasing, and interaction with service and maintenance vendors. The Executive Assistant will be responsible for maintaining comprehensive and accurate records for the Diocese, both electronically and in paper form.

The Executive Assistant should enjoy the administrative challenges of supporting a religious nonprofit and be committed to good stewardship of resources whenever practical and/or possible. The ability to interact with local and satellite staff, and remain flexible, proactive, resourceful, calm, and efficient are vital. Attention to shifting priorities and details is crucial as is the ability to multitask and to work and maintain order without direct supervision.

MAJOR DUTIES AND RESPONSIBILITIES:

  • Calendar management for the Bishop
  • Prepare correspondence as well as other official documents
  • Proactively anticipate the needs of Bishop for meetings and other official engagements and coordinate as necessary
  • Clerical support to Leadership Team
  • Answer phones
  • Obtain and distribute mail to the Diocesan Office
  • Filing of Diocesan records
  • Oversight of the Diocesan House physical plant
  • Schedule and organize meetings for Diocesan business

QUALIFICATIONS:

  • Education: Bachelor's degree preferred
  • Experience: 3 or more years' experience in an administrative setting

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to prioritize work, attend to details, meet deadlines, and effectively manage multiple work demands in a fast-paced environment
  • Ability to work collaboratively within a team environment
  • Excellent verbal and written communication skills
  • Working knowledge of The Episcopal Church, ecclesial bodies, or structured institutions is strongly preferred
  • A sense of humor, empathy, and a desire to help care for the souls of others
  • Comfortable with and knowledgeable of technology, including Microsoft 365
  • Observe the highest standard when managing sensitive and confidential information
